STST AGM wednesday 15th June 2005

I'm not quite sure where we are up to regarding the elections as I've not been involved with that side of Trust affairs, but we have a meeting next week where these things will be discussed. It is a requirement for a proportion of the Trust Board to stand for re-election and that will be finalised - though at present the Board numbers 8 and we can go up to 10 before an election needs to be held.

 

Re: the agenda. From my experience of the STSA AGM's there has not tended to be an agenda given beforehand, though I will take this as a suggestion to the meeting next week. Usually the agenda is circulated with the accounts at the AGM itself.

 

If anybody has any further queries or issues relating to the AGM that they would like me to take to the Board meeting next week then please let me know

Are there any rules published for the conduct of Trust business, like procedures for meetings, calling for nominations, what constitutes a quorum, notice of meetings etc? None of this appears in the FAQ's about the IPS format, except to say it is governed by certain rules.

A copy of the rules for our trust is available on written application and I also think there is a charge for copying.

 

Will confirm start time etc etc after the board meeting next week.

I am not aware that we have published a constitution governing the specific rules of STST but we do tend to follow the IPS stuff as closely as possible. In terms of notice of meetings, that is followed more or less to the T, with the date of the AGM announced virtually a year in advance (written on all Trust membership cards) and board meetings are announced at least a week in advance, usually in the form of a text message from the Secretary if is has not been agreed at the previous meeting.

You will have to forgive me Andrew for not being as hot on the rules as perhaps I should be. You posing these questions has illustrated to me that I've not kept myself particularly well informed and so I'll make a point now of re-reading the rules so that in future I can answer your points more directly and without looking a bit foolish.

My understanding is that the rules are not published per se but copies can be provided if requested. The rules of the Trust were of course drawn up by our solicitors prior to the launch. However, I should probably check with either Chris or Mike and come back to you on this one.

Cheers everyone re your postings re the AGM

 

1) election papers in the post - you should have them by now ! to be back with me by 26th May -in case we have more people than posts !

 

2) the board will meet on 26th May to discuse -who is standing next season !

 

3) rules are available from the secretary - priced 10 pounds , sending a stamped addressed envelope (big one)

 

4) agenda items tend to be open items and we try not to be too formal allowing our members a full range of questions

 

5) our accounts are away for auditing from this week end so will have full audited accounts for the AGM

 

6) see you there...

I think anon is looking for a full written report of the events of the AGM. My advice would be to attend and then you will know what happens. I appreciate that this is not possible for all our further afield friends in which case I am sure some sort of summary may be posted on the trust website.

Not to pre empty too much at the moment..but Matin Mc Cabe again raised the issue about giving details to our trust members , of the things the had been discussed at our board meetings...just to say the board approved whole heartly that their was no problems at all to release notes from our board meetings, just a format and way to do this will be discussed and given at the AGM...
